Students must organise clinical placements through the staff of their university. You should request that the student asks the university staff to contact you to make the necessary arrangements.
A Student Placement Deed, signed at a high level by the student's university and Queensland Health, needs to be in place before you can go ahead and organise a placement. Note that most Queensland universities have a Deed in place. (List of universities with a current Student Placement Deed). The instructions for universities to establish a Deed are listed under the 'For Australian Universities' link on the home page.
You may wish to contact the Student Deed Officer at the Clinical Education and Training Queensland for assistance with this process, on +61 7 3131 6861 or email ClinEdQ@health.qld.gov.au
Where a university does not have a Deed, you may wish to respond to the enquirer using the proforma letter. This letter can be filled out electronically and emailed, and can be used for enquiries from students or university staff.
The only exception to the requirement for a Student Placement Deed applies to international students who need to apply through a Queensland university.
Once a Deed is in place, the placement can be organised by completing the Operational Schedules.
You should agree the arrangements for the placement with the student's school or faculty. The school then completes and signs two copies of the Schedules and forwards them to you for signature.
When discussing the completion of the Schedules, you may wish to refer to the Schedule Template, the guidelines for the Schedules, an example of a completed Schedule, and the Frequently Asked Questions.
Your District Manager will have decided upon the appropriate delegation for signature of these Schedules - this may be the District Manager, your departmental manager or another person. Once the Schedules have been signed, one copy should be returned to the school or faculty.
The student needs to complete the student orientation package and the orientation checklist, and sign the deed polls on 'Placement Requirements' and 'Privacy and Consent'. The university supervisor will also need to sign deed polls on 'Supervision of Placements' and 'Privacy and Consent'. (Note that many universities ask students to sign the deed polls once only at the beginning of the course, and keep the documents on file. You may wish to check this with the university).
Your District will have its own arrangements for storage of student placement documentation such as Schedules, deed polls and checklists.
For nursing placements, payment to the district to cover the cost of a nurse educator may be discussed. See the payment schedule.
